What we collect about you and your dog, why, and how you stay in control of it, laid out plainly.
1. Intro & scope
This Privacy Policy explains what personal information Trail Mutts collects through trailmutts.com and our day ranch, wellness, and store services, how we use and share it, and the choices you have. It applies to site visitors, account holders, and anyone who books, purchases, or subscribes to our communications.
2. Information we collect
- Account information: name, email address, phone number.
- Dog profiles: your dog’s name, breed, age, and vaccination records (including rabies, DHPP, and Bordetella dates) that you or your vet provide.
- Bookings & service history: appointments, service types, check‑in/check‑out times, staff notes.
- Orders: items purchased, shipping/billing details, order history — full payment card data is handled by Stripe, not stored by us (see Section 5).
- Newsletter information: your email address and your consent choices — whether and when you agreed to marketing email, and the source (for example, our footer or a pop‑up).
- Estimate & contact requests: when you request an estimate, the contact details, address, and dog information you provide, the price estimate we generate, and your communication‑consent choice (including the exact consent language shown, and the date and time you agreed).
- Text message (SMS) information: if you opt in, your mobile number and your consent to receive calls and text messages, so we can follow up about your request and, where you agreed, send you marketing messages. Message and data rates may apply; message frequency varies.
- PupCam video: live video captured during daycare/boarding sessions and video calls, viewable by members per our PupCam terms (Terms of Use, Section 7).
- Device, usage & cookies: IP address, browser type, pages visited, and similar technical data collected automatically.
3. How we use it
- To provide and manage bookings, dog profiles, orders, and accounts.
- To process payments through Stripe.
- To send transactional email — booking confirmations, receipts, appointment reminders.
- With your consent, to send marketing email (ranch news, tips, offers).
- To respond to estimate requests and contact you about a request you submitted (a transactional follow‑up you initiated).
- With your consent, to send marketing communications by email, phone, and text message (SMS), and to keep a record of that consent.
- To keep dogs, guests, and staff safe, including verifying vaccination records.
- To improve the Services, including basic product analytics and testing.
- To power AI‑assisted features — for example, assistants that retrieve and summarize your booking history, your pup’s records, and our operational data (a technique called retrieval‑augmented generation) to answer questions, personalize the Services, and help our team serve you. Your information is used for these features within Trail Mutts only — it is never sold.
4. Legal bases / consent
Where required by law, we rely on the following legal bases: performance of a contract (bookings, orders, accounts), legitimate interests (safety, fraud prevention, improving our Services, and responding to a request you submitted to us), consent (marketing email, marketing calls and text messages, opt‑in PupCam features), and legal obligation (recordkeeping, tax). We keep a record of the consent you give — including the exact language shown and the time you agreed — to demonstrate compliance. You can withdraw consent at any time as described in Section 7.
5. How we share it
We share personal information with service providers who help us run Trail Mutts, under agreements that limit their use of your information to providing services to us:
- Stripe — payment processing (we don’t receive or store your full card number).
- Supabase — database, authentication, and hosting for our application data.
- Vercel — hosting for the trailmutts.com website and application.
- LiveKit — live video infrastructure for PupCam.
- Resend — transactional and marketing email delivery.
- Buffer — social media post scheduling.
- AI model providers — as we roll out AI‑assisted features (Section 3), we may use AI model providers as processors. They process your information only to provide those features to us, and are not permitted to use it to train their models or for their own purposes.
We do not sell your personal information — to anyone, for any purpose — and we don’t share it with third parties for their own independent marketing purposes.
6. Cookies & similar tech
We use essential, session‑based cookies to keep you logged in and remember basic preferences (like light/dark theme). We don’t currently use third‑party advertising or analytics cookies. If we add analytics in the future, we’ll update this Policy and, where required, ask for your consent first.
7. Marketing communications, texting & how to opt out
If you sign up for our newsletter (“The Waggin’ Trail”) via our footer or a pop‑up, we’ll send you ranch news, tips, and offers based on your consent. Every marketing email includes an unsubscribe link — clicking it removes you from future marketing sends immediately. You can also email [email protected] to manage your consent or ask what consent choices we have on file for you. Transactional emails (like booking confirmations or receipts) aren’t marketing and will continue as needed to provide the Services.
If you opt in to calls and text messages (for example, when requesting an estimate), we may contact you by phone or SMS about your request and, where you agreed, with ranch news, tips, and offers. Consent to receive marketing texts is not a condition of any purchase. Message and data rates may apply and message frequency varies. You can opt out of texts at any time by replying STOP to any message (or HELP for help), or by emailing [email protected]. Opting out of texts won't stop transactional messages needed to respond to a request you made.
8. Data retention
We keep account, booking, dog profile, order, and service records for as long as your account is active, and we generally do notapply a fixed expiration or automatic‑deletion schedule to them. We retain these records to provide the Services, comply with legal or tax obligations, resolve disputes, enforce our agreements, and to power the AI‑assisted features described in Section 3 — which work best with your full service history (your pup’s past visits, preferences, and records).
Retention is not forever regardless of your choices: if you close your account, we anonymize your personal information as described in Section 10, keeping only what the law requires us to retain (for example, tax and payment records). Newsletter consent records are kept to demonstrate compliance with consent laws even after you unsubscribe. PupCam video is retained only as long as needed for the live session and isn’t stored beyond a short operational window unless required for a safety‑incident review.
9. Security
We use industry‑standard safeguards, including encryption in transit (TLS), access controls limiting who can view sensitive data (like vaccination records), and a payment flow that never routes full card numbers through our servers. No method of transmission or storage is 100% secure, and we can’t guarantee absolute security.
10. Your rights
Depending on where you live, you may have rights to access, correct, delete, or receive a copy of your personal information, and to opt out of marketing. To exercise these rights, email [email protected].
California residents: under the CCPA and similar state laws, you have the right to know what personal information we collect and how we use and share it, to request deletion, to correct inaccurate information, and to opt out of “sale” or “sharing” — Trail Mutts does not sell or share personal information for cross‑context behavioral advertising. We will not discriminate against you for exercising these rights.
11. Children’s privacy
Trail Mutts’ website and Services are not directed to children under 13, and we do not knowingly collect personal information from children under 13, consistent with the Children’s Online Privacy Protection Act (COPPA). If you believe a child has provided us information, contact [email protected] and we will delete it.
12. International visitors
Trail Mutts is based in Lubbock, Texas, and our Services are hosted and operated in the United States. If you access the Services from outside the U.S., your information will be processed in the U.S., which may have different data protection laws than your home country.
13. Changes
We may update this Privacy Policy from time to time. Material changes will be reflected by an updated effective date above and, where appropriate, additional notice.
